Admin Assistant


Secretary Duties

  • Photocopies and distributes documents to all concerned departments.
  • Monitors and distributes incoming / outgoing correspondence (via fax and postal service)
  • Provides assistance in scanning documents for all departments
  • Maintains filing system updated at all time.
  • Types/sets up documents: letters, notes, reports, minutes of meeting on computer.
  • Is familiar with ICRC standard software application (Word, Excel, PMS, MSR, )
  • Provides update of lists, statistics, envelope labels for interlocutors, etc
  • In charge of stationery stock for the administration unit (including envelopes, letterheads). ensures timely order and follow-up
  • Has a good knowledge of photocopy machine, contacts the maintenance service when necessary

Patient Management

  • Welcome and register the arriving service users and other visitors to the HORC
  • Keeps the record in details regarding the service users
  • Keeps up to date the data base (Patients Management System).
  • Does whatever else could be required for the good functioning of the HORC and the well being of the service users.
  • Register and treats patient information confidentially and with accuracy.
  • Assist necessary SU information to mobile repair team.
  • Prepares monthly service users statistics report in time
  • Provide PMS training to other centres if necessary

Office Administration

  • Provides reception work
  • Develops and maintains a pleasant working atmosphere with colleagues and superiors.
  • Ensures respect of rules and procedures.

Assistance to ICRC expatriate team

  • Updates the ICRC regarding the achievements, problems, constraints related to the overall functioning of the administration unit


  • Report to the Deputy Manager of administration and finance about missing or broken material, tools and machinery.
  • Inform on time the Deputy Manager of administration and finance about holidays planning / absentness / sickness.
  • Be aware of the HORC objectives and activities
  • Applies the security rules at all times
  • Respects and observes the staff regulations of the MRCS, Myanmar
  • Reports on occurred problems without delay
  • The employee may be asked to perform duties and task not covered in this job description as well as to provide support to other departments when necessary.

Standard function description:

  • Welcomes service users
  • Performs various office works such as typing, filing, mail preparation and distribution, photocopies, updates of list
  • Assists the direct supervisor in the daily task
  • Assumes responsibility for specific files under supervision


  • Myanmar National
  • University Degree and/ or professional education
  • 1 years work experience in a similar field
  • Good command of English
  • Good computer skills
  • Capacity to work independently
  • Ability and willingness to work to meet deadlines and as part of professional team
  • Understands the three components of the Red Crescent Movement
  • Disable person can apply
  • Local person is preferable
  • Red Cross Volunteers are preferable
